Community reminded of event application process

The Shire of Ashburton plays host to a wide range of events each year ranging from small market days to major festivals.

These events generate a sense of community, provide entertainment, bring visitors to our Shire and make it a great place to live, work and play.

The Shire is responsible for approving all events run in the Shire of Ashburton to ensure compliance with a range of health and safety requirements.

This includes public events on both Shire owned land and privately owned properties. 

A public event means any single, one off event (either indoor or outdoor) where people assemble for entertainment or other common purposes.

This includes outdoor concerts, fairs, markets, festivals and more.

Public events do not include private, invitation only functions such as weddings and parties, or where a facility is being used within its intended purpose and capacity (i.e. exhibitions, club level sporting days etc).

If you are organising an event, it is your role to provide all required information when submitting your application to the Shire at least 1 month in advance of the event.

As part of the Shire of Ashburton event application process you will be required to submit:

  • Completed Public Event Application form.
  • Site map which includes key items such as site entries and exits, parking areas, first aid, power locations, key infrastructure, emergency assembly areas and amenities.
  • Certificate of Currency for relevant insurances (where the event is held on Shire of Ashburton owned land).
  • Certification documents and insurances for any rides and amusements you will have at your event. This includes bouncy castles and other inflatables.
  • Relevant food business notification forms and insurances where you will be having food trucks or other food service at your event.
  • For events where attendance will be over 1,000 guests at any one time, or where otherwise requested by the Shire of Ashburton, you will be required to submit a Risk Management Plan and Emergency Management Plan.
